Hello and Namaste. These Terms & Conditions explain how we work and help ensure a safe, clear, and enjoyable adventure. By booking with Meander Himalaya, you agree to these terms.

Our Agreement

When you confirm a booking for any trek, expedition, or service with Meander Himalaya Trek & Expedition Pvt. Ltd. ("we," "us," "our"), you are entering into a direct agreement with our local Nepali company. These terms apply to all bookings made via our website, email, phone, or in person.

Booking Your Adventure

  • Deposit to Secure Your Place: A non-refundable deposit (typically 20–30% of the total trip cost) is required to confirm your booking and begin the detailed planning process (securing permits, booking lodges, assigning guides).
  • Final Balance: The remaining balance is due no later than the date specified in your booking confirmation, or upon arrival in Nepal as previously agreed. We'll send friendly reminders.
  • Payment Methods: We accept secure bank transfers and other agreed-upon methods. All prices are quoted in USD unless otherwise stated and are based on costs at the time of quoting.

If Plans Change: Cancellations & Refunds

We understand that life can be unpredictable. Our policy is designed to be fair to you while protecting the livelihoods of our guides and partners who commit resources in advance.

  • Cancellation by You:
    • The initial deposit is non-refundable, as it covers administrative and permit costs.
    • For cancellations received more than 30 days before departure, only the deposit is forfeited.
    • For cancellations between 30 and 14 days before departure, a 50% refund of the total trip cost (minus deposit) will be issued.
    • Less than 14 days before departure, no refund is available for the trip balance, as all final payments will have been made to local suppliers. We will, however, help facilitate documentation for any travel insurance claims.
  • Cancellation by Us: We reserve the right to cancel a trip due to force majeure (e.g., extreme natural disaster, major political unrest) or if a minimum group size is not met. In such a rare event, you will be offered a choice of:
    1. A full credit for a future trip with us.
    2. A transfer to an alternative departure date.
    3. A full refund of all monies paid directly to Meander Himalaya.

Your Health, Safety & Essential Insurance

  • Your Well-being: You acknowledge that trekking and expeditions in the Himalayas involve inherent risks, including altitude, remote terrain, and variable weather. You are responsible for assessing your own fitness and consulting a doctor.
  • Non-Negotiable Insurance: You must have comprehensive travel insurance that explicitly covers high-altitude trekking (up to your trip's maximum elevation), emergency helicopter evacuation, medical expenses, and trip cancellation. Proof of insurance must be provided to your guide before the trek begins. Without it, you cannot join the trip, with no refund.

Our Shared Responsibility

  • Our Commitment: We pledge to provide experienced guides, safe itineraries, quality services, and passionate support. We adhere to strict safety protocols and are committed to your welfare.
  • Your Responsibility: You agree to follow the reasonable instructions of your guide at all times, respect local cultures and environments, and have the suitable fitness and equipment for your chosen trip. You participate at your own risk, acknowledging the adventurous nature of the activities.

Flexible Itineraries: The Nature of Adventure

Our published itineraries are a blueprint of your adventure. The mountains dictate the final details. Routes, accommodations, or schedules may change due to weather, trail conditions, group fitness, or other safety considerations. Such changes are at the discretion of your guide and do not constitute a breach of contract or warrant a refund.

Force Majeure

We cannot be held liable for failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to acts of God, war, civil unrest, strikes, government regulations, or pandemics.

Your Image & Stories (With Your Permission)

We love sharing the beauty of the Himalayas and the joy of our travelers. By booking with us, you grant us permission to use any photographs or video you share with us, or that are taken by our staff, for our promotional purposes (website, social media). If you prefer otherwise, just let us know in writing.

Governing Law

This agreement is governed by the laws of Nepal. Any disputes will be subject to the exclusive jurisdiction of the courts located in Kathmandu, Nepal.

These terms exist to ensure clarity and mutual respect. We are not a faceless agency; we are a team you will meet, laugh with, and trust in the mountains. Our goal is your transformative journey.
